Improving Response Time

It seems to be customary that when something is sent to the pastors to which
a response is required, about 80% comes back within the set deadline. Then,
it takes a lot of waiting and reminding before the final 20% is returned.
We notice that the same names seem to show up as delinquent time after time.
For example, as of 9:00 a.m. (12:00 noon on the East Coast) Tuesday morning
after Pentecost, the holy day offering report still had not been completed
because the figures for only 280 of the 379 churches in the United States
had been called in, even though the deadline was Monday. In discussing this
problem with those who compile this information, we learned that after each
holy day 25 or more pastors have to be called.before the final report can be
put together. That simply should not be necessary. They should not have to
make a single phone call! Also, a month ago we had to send memos to nearly
one-third of the pastors regarding a lack of response to requests for
updates and surveys that had previously been sent out. We waited three
months in one case, realizing several do get behind because of the many
pressing duties locally.
When Mr. Armstrong asks for information we try to respond immediately. But
it's frustrating for us when we can't provide it because we are still wait­
ing for some to respond.
In a time when growth is being experienced
throughout the Work as never before, we need information to be able to anti­
cipate trends and make changes that will need to occur.
We are trying to keep these surveys and updates to a minimum and only ask
for information which is really necessary.
But there is information
important to the Work which can only come from you. In the case of holy day
offerings, all of you should understand the importance of this information
to Mr. Armstrong and Mr. Neff in making financial reports and plans for the
Work.
We realize there are more important things to do than paperwork, but none of
us can function without it. As the saying goes, "The job isn't finished
until the paperwork is done." We all must put paperwork in its place, not
totally disregard it as some have done.
If you have been lax in getting informat:ion back to us on time, please
resolve to pay more attention to these "lesser" duties and improve your
responsiveness to our requests. Your input is important and we need to be
able to count on each member of the team!
